Posting to Xero
The app splits your total across periods from the dates and frequency you set. When you post, it creates manual journals in Xero so the GL matches the schedule.
Before you post
- Confirm the header shows the organisation you mean.
- Match period amounts to whatever sign off your team uses.
- Only treat the period as closed after finance agrees.
Ways to post
- Post individual periods from a schedule's detail screen when you want tight control.
- Use register actions or Bulk Post Monthly Journals when your workflow batches many journals at once. The preview uses the same eligibility rules as the monthly automatic job (conversion date, posted status, voided schedules, write-offs, and live Xero connection). Always reconcile totals before signing off.
Monthly automatic posting
Prepaidly also runs a hosted monthly job that posts eligible period journals to Xero without you pressing Post each time. It runs once per calendar month, early on the 1st (timed in Australian Eastern Standard Time — Brisbane, UTC+10) so the cut-off matches “everything through the previous month end.”
- It considers lines that are still unposted with period date on or before the last day of the previous month.
- It respects the conversion date from Settings, so nothing on or before that lock date is sent.
- It skips write-off rows, schedules that are voided, and schedules that already have a write-off recorded.
- If the Xero file is disconnected, that tenant's queued lines are skipped so a bad link does not block other organisations.
Check System Log for Job Auto-Post entries after each run. Organisation admins can open Users, select someone, and enable Monthly Posting Notification for an email summary after automatic posting when that feature is available for your workspace.
After you post
In Xero, open Manual journals or your usual journal report and check lines and amounts. Prepaidly's dashboard should show which periods are posted.
